Position: Administrative Property Manager Assistant 

Location: Miracle Mile, Wilshire Boulevard, Los Angeles, California 

Schedule: Full-Time, Monday–Friday, 35–40 hours/week (flexible) 

Job Type: Onsite  

Position Summary: 

We are seeking a reliable, detail-oriented, and friendly Administrative Property Management Assistant to join  a family-owned property management team based in the Miracle Mile on Wilshire  Boulevard. The ideal candidate will be a team player who enjoys a diverse set of  responsibilities and can communicate effectively with tenants, vendors, and staff. The firm manages 10-buildings throughout the LA-area.

Key Responsibilities: 

• Answer incoming phone calls, respond to inquiries, or transfer to the appropriate party

• Sort and scan incoming mail; distribute to the appropriate recipients

• Maintain and update client and vendor contact information 

• Use Yardi software to enter rent collections, monitor payments, post payments, and  enforce collection policies 

• Generate and send out delinquency reports to property managers using Yardi

• Enter recurring accounts payable, input bills, track approvals, and ensure timely  payments 

• Coordinate repair and maintenance approvals as needed with maintenance supervisor, property managers, and resident managers 

• Perform and manage move-ins and move-outs using Yardi (enter new tenants, close out  old ledgers) 

• Monitor and log periodic unit inspections and services (e.g., pest control, pool service)

• Maintain records of inspections and recurring tasks like A/C filter changes and  smoke/carbon monoxide detector checks 

• Review new tenant leases prepared by resident managers and assist managers as  needed in lease preparation 

• Support office staff and leadership with various administrative tasks as needed

Qualifications: 

• Prior experience in property management or administrative support

• Familiarity with Yardi Breeze software (strongly preferred; training possible for capable  learners) 

• Excellent knowledge of QuickBooks (strong plus) 

• Excellent written and verbal communication skills 

• Friendly, professional demeanor with ability to de-escalate challenging situations • Strong organizational skills and attention to detail 

Compensation & Benefits: 

• $31.25-$36.00 hourly wage DOE

• In-office location with regular business hours
